Privacy Policy for Smart Inventory System

Mohammad Sahab Uddin (“I,” “me,” or “my”) is an independent software developer who operates Smart Inventory System, a secure software-as-a-service application that enables businesses to manage sales, purchases, stock, accounts, staff, employee attendance, and business reports from one online system (“the Service”).

I operate this Service personally as a side project and not through a registered company. My employer is not connected with, responsible for, or involved in the Service.

This Privacy Policy explains what information the Service collects, how it is used and protected, when it may be shared, how long it is retained, and how users may request access, correction, or deletion.

1. Business Customers and Users

The Service is provided to businesses, organizations, and individual business owners (“Business Customers”).

A Business Customer controls the business and employee information entered into its account and determines which employees or other authorized users may access that information.

When I store or otherwise process personal information submitted by a Business Customer, I do so for the purpose of providing the Service. The Business Customer remains responsible for ensuring that it has a lawful reason to collect and use information about its employees, customers, suppliers, and other individuals.

2. Information I Collect

The type of information collected depends on the features used by each Business Customer.

Account, User, and Role Information

When a Business Customer registers for Smart Inventory System, the Service may collect:

  • Username or email address
  • Password stored in hashed or otherwise protected form
  • Account status
  • Password-reset and verification information

After registration, an authorized administrator may create additional users and roles on demand. Information entered for these users may include:

  • Name
  • Username
  • Email address
  • Phone number
  • User or employee ID
  • Business and branch assignment
  • User role and permissions
  • Account status
  • Password stored in protected form

This information is used to create and manage accounts, authenticate users, assign access permissions, connect users to the appropriate business or branch, provide support, and protect the Service from unauthorized access.

Each Business Customer is responsible for ensuring that it has permission to create accounts for its users and provide their information to the Service.

Customer and Supplier Records

Authorized users may enter and manage:

  • Customer and supplier names
  • Business or company names
  • Contact-person details
  • Addresses
  • Phone numbers and email addresses
  • Tax or registration information
  • Delivery information
  • Notes and additional business information
  • Account balances
  • Transaction and statement histories

This information is used to provide customer and supplier management, purchasing, sales, delivery, payment, statement, and reporting features.

Each Business Customer is responsible for ensuring that it has a lawful business reason to collect and enter customer and supplier information.

Business, Inventory, and Payment Records

Smart Inventory System may store:

  • Product and inventory information
  • Stock quantities, lots, and movements
  • Branch and project information
  • Quotations and orders
  • Purchase and sales invoices
  • Deliveries and received goods
  • Returns, replacements, and adjustments
  • Expenses and accounting entries
  • Customer and supplier payments
  • Payment amounts and dates
  • Payment sources or methods
  • Transaction references, descriptions, and charges
  • Outstanding balances and dues
  • Financial statements
  • Business reports
  • Workflow and audit records

This information is used to provide inventory, purchasing, sales, accounting, payment-recording, business workflow, financial reporting, and audit features.

Smart Inventory System records payment and transaction information for business-management purposes. It does not directly process or transfer customer or supplier funds and does not store bank-card credentials.

This statement concerns payments recorded within business operations. If a third-party payment provider is later used to collect SaaS subscription fees, that provider’s handling of subscription-payment information will be disclosed separately.

Employee, HR, Attendance, and Payroll Records

Depending on the features enabled by the Business Customer, the Service may store:

  • Employee profiles and employment details
  • Employee codes and user-account associations
  • Department, designation, branch, and project assignments
  • Employment status
  • Work schedules and workweek settings
  • Leave requests and leave records
  • Attendance dates and statuses
  • Check-in and check-out times
  • Overtime and absence records
  • Salary components and adjustments
  • Salary periods and salary runs
  • Payroll records and payslips

This information is used to provide HR, employee-management, attendance, payroll, and reporting functions requested by the Business Customer.

The Business Customer is responsible for notifying its employees about its use of these features and ensuring that it has an appropriate legal basis for processing employee information.

Attendance Photos and Camera Access

When an employee chooses to submit an attendance check-in or check-out, Smart Inventory System requests access to the device camera and captures an attendance selfie.

Attendance photos are used to:

  • Certify that the attendance submission belongs to the employee
  • Create and maintain the employee’s attendance record
  • Record check-in and check-out activity
  • Help prevent false, inaccurate, or unauthorized attendance submissions
  • Allow authorized administrators, managers, or HR personnel to review attendance

Attendance photos are not sold, used for advertising, or used to create facial-recognition profiles.

Precise Location

When a user initiates an attendance check-in or check-out, Smart Inventory System may collect:

  • Precise latitude and longitude
  • Location accuracy
  • Date and time of submission
  • The distance from an approved attendance location
  • Whether the submitted location is inside an approved workplace radius
  • Related device and network information

The Service uses this information to determine whether an attendance submission occurred within a workplace or attendance location configured by the Business Customer.

Location is requested only while the user is using the attendance feature and initiating an attendance submission. Smart Inventory System does not continuously track users and does not collect precise location while the Service is closed or running in the background.

Users may deny camera or location permission. However, the selfie and location-based attendance feature cannot operate correctly without these permissions.

Technical, Security, and Activity Information

The Service may automatically collect or generate:

  • IP address
  • Device and browser information
  • Login and session information
  • Access dates and times
  • Attendance-device information
  • Workflow and activity history
  • Changes made to business records
  • Security and audit logs
  • Error and diagnostic information

This information is used to operate and secure the Service, authenticate users, enforce permissions, diagnose technical problems, investigate suspicious activity, prevent misuse, and maintain an audit trail.

Files and Communications

Authorized users may upload or submit:

  • Documents
  • Images
  • Attachments
  • Business files
  • Support requests
  • Messages and email-related content

This information is used to provide the requested upload, document-management, reporting, communication, notification, and support features.

3. How I Use Information

I use information collected through Smart Inventory System to:

  • Provide, operate, maintain, and support the Service
  • Register and manage Business Customer accounts
  • Allow Business Customers to create users and roles on demand
  • Authenticate users and manage permissions
  • Separate information by business and branch
  • Provide inventory and stock-management features
  • Provide purchasing, sales, invoice, and delivery features
  • Record customer and supplier payments
  • Manage customer and supplier records
  • Provide accounting and financial-reporting features
  • Provide HR, attendance, payroll, and payslip features
  • Verify attendance submissions
  • Generate reports and exports requested by authorized users
  • Respond to support requests
  • Maintain backups, workflows, and audit records
  • Identify and correct technical problems
  • Detect and prevent fraud, misuse, and security incidents
  • Comply with applicable legal obligations
  • Improve the security, reliability, and usability of the Service

I do not sell personal or sensitive information.

I do not use attendance photos or precise location for advertising.

4. How Information May Be Shared

Business Customers and Authorized Users

Information entered into a Business Customer’s account may be accessible to that Business Customer and its authorized users according to their assigned roles and permissions.

Depending on the permissions configured by the Business Customer, authorized users may include:

  • Business owners
  • Account administrators
  • Branch administrators
  • Managers
  • HR and payroll personnel
  • Accounting personnel
  • Employees
  • Other authorized staff

Business Customers may view, export, print, or share records for legitimate business, accounting, payroll, audit, reporting, or legal purposes.

I am not responsible for unauthorized sharing performed by a Business Customer or its users outside the Service.

Service Providers

I use or may use third-party providers to operate Smart Inventory System, including providers of:

  • Server and application hosting
  • Database and file storage
  • Backups
  • Domain and network services
  • Email delivery
  • Security monitoring
  • Error reporting
  • Technical support
  • Payment collection

These providers may process information only as necessary to provide their services and are expected to protect it appropriately.

Current service providers include:

  • Bluehost — website, application, database, file-storage, and related hosting services
  • Upwork — payment collection when payment is arranged and completed through Upwork

I do not authorize service providers to sell attendance photos, precise location, or other personal information collected through Smart Inventory System.

Legal and Safety Requirements

I may disclose information when reasonably necessary to:

  • Comply with applicable law or valid legal process
  • Respond to a lawful government request
  • Investigate fraud, abuse, or security incidents
  • Protect the rights, property, or safety of users or others
  • Prevent harm to the Service
  • Enforce applicable agreements

Transfer of the Service

If Smart Inventory System is sold, transferred, merged with another service, or reorganized, information may be transferred to the new owner or operator.

Where required, affected users or Business Customers will receive appropriate notice before their information becomes subject to a materially different privacy policy.

At the User’s Direction

Information may be disclosed, downloaded, exported, printed, or sent to another party when an authorized user or Business Customer requests or initiates that action.

I do not share attendance photos or precise location with advertisers or data brokers.

5. Data Retention

I retain account, user, customer, supplier, inventory, transaction, payment, employee, attendance, photo, location, payroll, workflow, and audit records while the Business Customer maintains an active account or for as long as reasonably necessary to provide Smart Inventory System.

Information will be retained for as long as the Business Customer’s SaaS subscription and account remain active.

Business Customers may establish their own retention requirements for information under their control. Employees, customers, and suppliers should contact the relevant Business Customer for information about those requirements.

6. Account and Data Deletion

A Business Customer may request access, correction, export, or deletion of its account and associated information by:

Users whose accounts were created by a Business Customer should first contact that Business Customer’s administrator. The Business Customer controls those user accounts and the related employee or business records.

I may forward a user’s request to the appropriate Business Customer or request additional information to verify the requester’s identity and authority.

Following a verified deletion request, I will permanently erase or de-identify the account and its associated personal information from active systems.

7. Data Security

I use reasonable technical and organizational safeguards designed to protect personal and sensitive information processed through Smart Inventory System.

These safeguards include:

  • HTTPS encryption during transmission
  • Password hashing or other protected password storage
  • Authentication and session controls
  • Role-based permissions
  • Business and branch-level access restrictions
  • Administrative access controls
  • Activity, workflow, and audit logging
  • Backups
  • Security monitoring
  • Measures designed to prevent unauthorized access, alteration, disclosure, or destruction

Because I operate Smart Inventory System as an independent developer, authorized system-level access is limited to me and any hosting or technical providers required to operate, maintain, and secure the Service.

No internet transmission, application, or storage system is completely secure. Therefore, I cannot guarantee absolute security.

Users are responsible for keeping their login credentials confidential, using secure devices, assigning appropriate roles and permissions, and instantly reporting suspected unauthorized access.

8. International Processing

Smart Inventory System may be accessed and used worldwide. Information may be hosted or processed in countries where I or my service providers operate. By using the Service, users acknowledge that their information may be transferred to and processed outside their country of residence, subject to applicable data-protection laws and appropriate safeguards.

If information is transferred between countries, I will use appropriate safeguards as required by applicable data-protection laws.

9. Children’s Privacy

Smart Inventory System is intended for businesses and their authorized working-age users. It is not designed or intended for children under 18.

I do not knowingly collect personal information directly from children. Business Customers must not create accounts for children or enter children’s personal information unless they have a lawful reason and all required permissions.

10. Privacy Rights

Depending on applicable law and the person’s relationship with a Business Customer, users may have the right to:

  • Request access to their personal information
  • Correct inaccurate or incomplete information
  • Request deletion
  • Obtain a copy of certain information
  • Restrict or object to certain processing
  • Withdraw consent when processing is based on consent
  • Submit a complaint to an appropriate data-protection authority

Employees, customers, and suppliers should normally submit requests to the Business Customer that entered or controls their information.

Requests may be subject to identity verification, authorization checks, and lawful exceptions.

11. Changes to This Privacy Policy

I may revamp this Privacy Policy to reflect changes to Smart Inventory System, my data practices, or applicable legal requirements.

The updated policy will be published on this webpage with a revised effective date. Additional notice will be provided when required by law or when a change materially affects how personal information is handled.
